IBROWS AI Business Assistant

IBROWS Enterprise uses WhatsApp to respond to customer enquiries and provide information about its services. Some responses are generated or assisted by artificial intelligence.

Information we process

We may process your WhatsApp number, WhatsApp profile name made available to us, message content, website service-request details, enquiry details and information needed to follow up your request. If you intentionally submit photographs through the Photo Restoration form, IBROWS also processes those source images and your restoration instructions for the purpose of reviewing and carrying out the requested service.

Why we use it

We use this information to respond to enquiries, maintain recent conversation context, manage business leads, support human follow-up, prevent duplicate message processing, and operate and secure the service.

Service providers

WhatsApp/Meta carries the messages and attachments. OpenAI may process relevant conversation content, supported attachments, public webpage content that a customer asks the assistant to review, and submitted Smart Project Discovery requirements when IBROWS uses automated analysis to help identify scope, missing information and technical risks. When a customer provides a public web link, the IBROWS service may retrieve that public page and, when ordinary page retrieval is insufficient, may use OpenAI hosted web search limited to relevant public domains to answer the request. Raw attachment files and fetched webpage bodies are processed transiently and are not stored in the IBROWS database. To continue a customer's request across later messages, IBROWS may retain a concise sanitized summary of relevant source content, such as CV experience/skills or job-advert requirements. When a customer asks IBROWS to prepare a CV/cover-letter application pack, draft document files are generated for delivery through WhatsApp/Meta. If delivery is incomplete, the generated file bytes may be retained temporarily in the IBROWS database solely so the missing delivery can be retried; each successfully delivered pending file payload is cleared, and stale pending-delivery records are removed within 30 days. Brevo is used to send qualified-lead and Project Discovery notifications to IBROWS management. Hosting and database providers process data as necessary to operate the service.

Smart Project Discovery

Prospective digital-services customers may submit contact details and project requirements through Smart Project Discovery. IBROWS uses that information to understand the requested scope, identify questions that still need clarification, and prepare for a human-reviewed proposal or quotation. Automated analysis is advisory and does not itself approve a price or commercial commitment.

Website service requests and restoration images

Website service enquiries, including Business Registration, Photo Restoration, Fumigation and Agro Dealing, are stored in the IBROWS database so authenticated IBROWS staff can review and follow them up. Photo Restoration source images are private client uploads: they are not displayed in public portfolio galleries and are served only through authenticated Admin routes. Public Design/Branding portfolio images, videos and audio samples, plus Landscaping and Construction portfolio images, are separate content deliberately published by IBROWS.

Retention

Ordinary conversation history and sanitized attachment/web-source summaries are retained for up to 90 days. Technical WhatsApp retry records are retained for up to 30 days. Unsubmitted Smart Project Discovery drafts may be removed after 30 days. Inactive business leads and submitted project-assessment records may be retained for up to 12 months unless they form part of an active/completed commercial record or longer retention is reasonably required for legal, accounting, dispute-resolution, or other legitimate obligations. Private Photo Restoration source files linked to service requests marked Completed or Closed are automatically removed after 90 days; completed/closed website service-request records are removed after 12 months unless a legitimate longer retention obligation applies.

Safety

Do not send passwords, banking PINs, OTP/security codes or full payment-card credentials through the assistant. IBROWS does not sell customer personal information.

Your data

You may request access to, correction of, or deletion of information associated with your interactions by contacting support@ibrowsenterprise.com. We may request reasonable information to verify the request before acting on it.
